Use of Collaboration Space
PSI Collaboration Space – Privacy Policy

Welcome to PSI Collaboration Space of PSI Software SE, Dircksenstraße 42-44, 10178 Berlin (Mitte), Germany (“PSI”). Thank you for your interest. PSI is the Data Controller pursuant to the GDPR for the PSI Collaboration Space. PSI Software SE takes the protection of personal data very seriously. Therefore, we would like to inform you below which data will be used for which purposes in PSI Collaboration Space. You can contact our data protection officer at privacy@psi.de.
1. Purpose of Data Processing
PSI process personal data in connection with the PSI Collaboration Space (“Terms”) to provide the functionalities of the PSI Collaboration Space, such as:
Sharing the product documentation.
Facilitating cooperation between Customers or Partners and PSI.
2. Use of Personal Data shared by You
In order to access PSI Collaboration Space, you or your employer must apply for an account by providing your e-mail address to us. You must have an active Atlassian account, connected to the e-mail address provided in the request. Upon approval Your Atlassian account is then linked with the PSI Collaboration Space. We receive the following account data from Atlassian: e-mail address, full name, user name.
You can choose to disclose additional profile information via your Atlassian account profile, including contact information, a profile picture etc. via self-service functions provided by Atlassian. Your Atlassian profile is managed by Atlassian, independent from us.
We do not know, and have no access to, your authentication credentials, as authentication is solely managed by Atlassian.
As a registered user, you can participate in the PSI Collaboration Space by adding, editing, deleting pages and attachments, add posts and attachments, edit or delete your own posts, add answers and edit or delete your own answers (collectively called your “content”). All functions and the accessibility of specific spaces within the PSI Collaboration Space are dependent on your access rights, which are granted by us in our own discretion.
Visibility of your content is dependent on the type of space you use:
Your content might be visible only to pre-established user groups. For example, only employees of PSI and your company might have access to Designated Spaces and to the information contained therein.
Forum spaces might be visible to all users of the PSI Collaboration Space, including employees of other companies.
Your Atlassian user profile is visible to all users who can access your content.
The legal basis for the data processing is your and our legitimate interest pursuant to Art. 6(1)(f) GDPR to process the data to operate the PSI Collaboration Space and provide the PSI Collaboration Space functionality.
Furthermore, the general privacy policy of PSI applies, applicable at psi.pl (for Poland) or psi.de (all other regions).
3. Disabling or deleting your account; deletion of content
Any User account which is inactive for more than 120 days will be disabled and all added User content (see below) will be anonymized.
You can delete your account at any time by contacting us at privacy@psi.de. Deleting the account means that you can no longer login to the PSI Collaboration Space, and all the content created by you will be anonymised (i.e. your full name will not appear on the PSI Collaboration Space any longer in connection with your content).
You can delete your content at any time by using the self-service deletion function in the PSI Collaboration Space.
4. Email notifications and communications
If you add, edit, or comment on any page, by default you are becoming its watcher. This means you can receive email notifications about changes made to this page. You can opt-out of this functionality by using the "unwatch" functionality described in the Confluence documentation: https://support.atlassian.com/confluence-cloud/docs/watch-pages-spaces-and-blogs/
PSI representatives may communicate with you electronically (via email) to inform you about events like changes in the PSI Collaboration Space, breaks due to maintenance services, imminent expiry of your account.

5. Tracking activities
PSI uses the built-in Confluence tools "Analytics" to track the activities of Users on each page and space. The tool helps to identify:
most viewed content
usage and activity trends across the sites
frequent contributors and viewers
The data is visible to PSI space administrators and Confluence administrators. It is not shared with third-party companies.
The legal basis for the data processing is our legitimate interest pursuant to Art. 6(1)(f) GDPR to:
verify which pages are frequently viewed by Users as well as which pages are not popular
verify the most active contributors
see the changes, edits and views of pages during the specified period of time
Analytics data is retained in the database for 12 months.
6. Data recipients
We use third party service providers, and disclose to such service providers personal data as required for the provision of the services. Of course, we also comply with all data protection regulations and oblige our service providers to do so where necessary. The service providers may only process the personal data on our behalf and not for their own purposes and must treat the data confidentially. To this end, we have concluded data processing agreements in accordance with Art. 28 GDPR. Insofar as we use services whose providers are partly located in third countries outside the European Economic Area or process personal data there and the EU Commission has not issued an adequacy decision for these countries in accordance with Art. 45 GDPR, we have taken appropriate measures to ensure an adequate level of data protection for any data transfers. These include the standard contractual clauses of the European Union or binding internal data protection regulations.
In particular, the PSI Collaboration Space is based on Confluence, provided and operated by Atlassian Pty Ltd, Level 6, 341 George Street, Sydney NSW 2000, Australia. When providing the PSI Collaboration Space, PSI uses several plugins, which include code written by other third parties.
Doing so may give third-party apps access to your account and information about you like your name and email address, and any content you choose to use in connection with those apps.

7. Your rights and complaint options
In addition to the right to revoke any consent given to us, if applicable, you have right to request access to (Art. 15 GDPR) and rectification (Art. 16 GDPR) or erasure (Art. 17 GDRP) of personal data or restriction of processing (Art. 18 GDPR), the right to object (Art. 21 GDPR) and the right to data portability (Art. 20 GDPR).
You have the right to object against all types of processing described in this privacy information that are based on Art. 6(1)(f) GDPR, based on grounds relating to your particular situation (Art. 21(1) GDPR).
You have the right to lodge a complaint with a supervisory authority (Art. 77 GDPR).
